The user interface features a modular, intuitive design that allows staff and safety officers to manage critical health and safety data with precision.

Below is an overview of the primary functional modules available within the system:

1. Risk Inspection and Machinery Oversight

The platform provides dedicated tools for proactive risk mitigation. Users can conduct and log formal inspections, including:

  • Electrical Fire Risk Inspection (EFRI): Specialized reporting to identify and manage electrical hazards.

  • Emergency Equipment Inspection: Routine monitoring of safety hardware to ensure operational readiness.

  • Hazardous Machinery (COF): Management and certification tracking for high-risk industrial equipment.

2. Incident Management and Notification

To ensure transparency and rapid response, the Incident Notification module allows users to:

  • Report Incidents: Seamlessly document workplace accidents or near-misses in real-time.

  • Audit Trail: Edit or delete existing reports to maintain the accuracy of safety records.

3. Emergency Preparedness and Response (ERP)

This section centralizes the planning and execution of emergency protocols through:

The HazChem module is a specialized extension of COSHe Online, specifically engineered for laboratory staff and researchers. This interface centralizes the management of hazardous substances and specialized laboratory equipment to ensure strict adherence to international safety standards and university protocols.

The platform’s core functions for laboratory environments include:

  • Safety Data Sheets (SDS): Provides laboratory personnel with immediate, on-demand access to chemical safety data, handling procedures, and emergency response instructions.

  • Suppliers List: A streamlined directory of approved vendors and manufacturers, ensuring that all chemical procurement remains within regulated institutional channels.

 

  • Inventory Tracking: Staff can view a master list of all hazardous chemicals currently held within the institution.

  • Location Management: Enables the tracking of substances across various laboratories and storage facilities, facilitating rapid auditing and spatial safety planning.

  • Chemical Procurement & Disposal: Formalized workflows for adding or removing hazardous chemicals from the inventory, including a dedicated section for tracking application records.

  • Fumehood Management: Specialized tracking for laboratory fumehoods, allowing staff to manage the installation, removal, and maintenance records of these essential ventilation systems.

  • By integrating "Add/Remove" application records, the system maintains a permanent audit trail. This ensures COSHe can monitor laboratory changes in real-time, supporting both internal safety audits and external regulatory inspections.

5. Administrative Planning and Committee Oversight

The platform facilitates organizational safety governance through several coordination tools:

  • Booking Forms: Automated scheduling for JKKP (Safety and Health Committee) meetings, ERP workshops, and official safety visits.

  • JKKP PTj Details: Dedicated access to safety committee meeting minutes and departmental safety updates.

  • Building Works: Tracking and oversight of ongoing construction or maintenance projects to ensure they adhere to safety standards.

6. Reference and Resource Library

A centralized References section provides users with quick access to safety manuals, legal guidelines, and institutional policies, ensuring that all staff remain informed of the latest safety protocols.
